before you draw

How to organize a Secret Santa

Agree the rules before the draw. If the budget, the date, and the couples are argued afterwards, you have to redraw, and the secret does not last.

Santa asks for quiet, one finger on his lips

Who is in the draw

Only people who will be there on exchange day should play. Adding someone from the WhatsApp group who is not coming leaves one gift undelivered and another person without theirs.

You need at least three people. With two, nobody can draw someone else. Use the name each person actually goes by: if everyone calls her Lucy, a formal name only confuses the moment the gifts are opened.

If children are involved, decide first whether they draw among themselves, with the adults, or get something separate. An adult cap and a small child in the same draw usually ends in a gift that does not fit.

The gift budget

The budget is one round number, written down. “Something small” does not work: everyone hears a different figure. The fairest cap is the one the person with the least room in the group can pay without strain.

In many Secret Santas that cap sits around $15 to $30. Write it as a ceiling, not a target: “up to $20” stops someone spending twice as much and leaving everyone else exposed. If you want one extra rule, one is enough: handmade only, secondhand only, or a single theme.

The draw date and the exchange date

There are two dates, and both matter. The exchange is usually the dinner or the party. The draw has to happen earlier, with time to shop: two or three weeks is comfortable, and a little more if the gift is mailed. Someone who learns the name the night before buys whatever is left on the shelf.

Put both dates in the same group message, with the budget and the exclusions. A pinned message stops the conversation starting over every other day.

Couples and other exclusions

Couples, siblings, or parents and children often prefer not to draw each other, because they already exchange gifts on their own. Decide that before the draw. Redrawing because someone got their partner is the fastest way for the group to reconstruct the result.

An exclusion works both ways: if Ana does not give to Luis, Luis does not give to Ana. With three people, if two are a couple who cannot draw each other, no valid draw remains. Remove the exclusion or add someone. Do not exclude out of habit, only when the group is sure.

How to share the result

The result goes out in private. The group chat is for the rules, never for the name each person drew.

Each person gets a different link. Whoever opens it sees only who they are giving to, and can leave ideas for the person buying for them. The organizer sends the links and does not see the assignments, so they can play too: they open only their own.

WhatsApp is enough. The site does not need anyone’s email to run the draw: copy each link and send it in a one-to-one chat. Paste it in the group and the secret is over.

Keep the organizer page. From there you can copy the links again or delete the draw when the exchange is finished. No account is required: the link is the key, so do not publish it.

The wish list

A bare name forces a guess. Each person should write three or four concrete ideas on their link: a size, an author, a color, something they have already said they want. “Anything” does not help, and neither does a list of gifts above the budget.

The giver sees those ideas and nothing else. They do not see the rest of the draw. Once the group has a list, a cap, and a date, the draw itself is the short part.

Questions about organizing

How far ahead should you draw?

Two or three weeks before the exchange. Someone who finds out the night before buys what is left, not a gift they thought about.

What budget works for a Secret Santa?

One number, closed, that the person with the least room can pay without strain. Many groups land between $15 and $30. Write it as a maximum, for example “up to $20”.

Can the organizer play?

Yes. They do not see the assignments, so they can take part like anyone else. They should open only their own link, not everyone else’s.
